Office Coordinator (Part-time)
Delve is seeking a highly organized and proactive Office Coordinator to manage day-to-day office operations and logistics. This role ensures the office runs smoothly, providing essential support for internal and customer-facing events, facilities management, and general administrative duties. The ideal candidate is detail-oriented, resourceful, and able to balance multiple priorities while maintaining a welcoming and efficient office environment. This is a part-time role based in our Madison, WI studio.
Responsibilities
Office Management & Upkeep
- Maintain a clean and organized office environment.
- Manage office supply inventory, including printer paper, toner, and shredding services.
- Coordinate regular office clean-ups and general organization efforts.
- Answer direct phone calls.
Event Coordination
- Organize weekly team lunches, from planning and ordering to setup and cleanup.
- Manage logistics for internal and external events, including scheduling, catering, and post-event cleanup.
- Oversee client event logistics, including managing invitations, RSVPs, front-door greetings, meal setup, and cleanup.
Facility Management
- Serve as the main contact for building management (Lyric building) and internal maintenance requests.
- Coordinate physical space changes, such as hiring movers and organizing furniture adjustments.
- Oversee office space maintenance tasks and ensure timely resolution of issues.
Administrative Support
- Manage project archives and office records.
- Ensure vehicle registration and insurance cards are current.
- Replenish snacks, beverages, and fresh foods; handle grocery runs as needed.
- Place monthly Aramark (coffee/tea) orders.
- Check and distribute mail/packages from the mailbox and package room.
- Transportation Support
- Occasionally drive the company vehicle to pick up prototypes or supplies.
Requirements
- 2+ years of experience in office management, administrative support, and/or event coordination.
- Strong organizational and communication skills.
- Ability to prioritize tasks and adapt to a fast-paced environment.
- Valid driver’s license with a clean driving record.
- Ability to lift 20 lbs or more.
Preferred Experience
- Familiarity with facilities management and vendor relations.
- Prior customer-facing experience.
